Service Reports

Service Reports record the work performed on a Work Order - how many technicians worked, when, for how long, and what exactly was done. They are used for verification and calculating contractor payments.

TIP

A Work Order can have multiple Service Reports - one for each technician visit until the work is completed.

Service Report List

The list shows:

  • Report number (SR-xxx)
  • Work order (WO-xxx: title)
  • Facility
  • Execution date
  • Number of technicians
  • Net work hours
  • Completion status
  • Created by

Filters

You can filter by:

  • Text search
  • Completion status (Completed / In Progress)
  • Archive status (Active / Archived / All)

Creating a Service Report

There are two ways to create a service report:

From the Work Order

  1. In the Work Orders list, click the actions menu (⋯) on an order with status Assigned or In Progress
  2. Select Create Service Report
  3. The work order is already pre-selected

From the Service Reports Page

  1. Click New Service Report
  2. Select a Work Order from the list (only orders with status Assigned or In Progress are shown)

Report Fields

Break Rules

According to labor regulations:

  • 6+ hours of work → minimum 15 minutes break
  • 8+ hours of work → minimum 20 minutes break

Automatic Status Transitions

Creating or updating a Service Report automatically affects the Work Order status:

Computed Fields

The system automatically calculates:

  • Total work minutes: Time difference × number of technicians
  • Net work hours: (Total minutes − break × technicians) / 60

In each report's actions menu:

Service Report PDF

The PDF includes:

  • Header with organization logo and QR code
  • Work order details (number, title, contractor)
  • Facility and asset information
  • Execution table (dates, times, break, technicians, net hours)
  • Work performed description
  • Completion status

Notifications

Sending a service report to a contractor dispatches a professional HTML email with:

  • Report number and work order reference
  • Facility and asset details
  • Execution dates and times
  • Completion status
  • Attached PDF

Export and Bulk Delete

When the Import / Export feature is enabled, the service-reports page provides an Export button for the filtered list.

Selecting multiple service reports opens a bulk-action bar with delete actions for users who have permission to remove reports.
